What we collect
- Account: your name and email, and your Google account email if you sign in with Google.
- Business and location: legal and trading name, address, county, permit number, phone, the person in charge and the person who verifies (name and title), and, if you add them, your inspector's or plan reviewer's name, email and agency.
- Your plan: your answers, menu items, recipes, equipment and the plan files we build.
- Logs: the readings, times, batches, corrective actions and staff initials you enter.
- Support and reviews: messages you send us, and reviews you submit (with any photo or video you choose to upload).
- Basic technical data: IP address and browser details in server logs, used for security and to fix problems.
What we never collect
- Social Security numbers or tax IDs.
- Health data about you, your staff or your customers.
- Payment card details. Payments go through Whop, our checkout partner, which holds them under its own privacy policy.
- Staff full names in logs. Logs use initials.
How we use it
To build and revise your plan, run your digital logs and reminders, send the emails you ask for (for example "send to my inspector"), process refunds and cashback, answer support, and keep the service secure. We do not sell your data and do not use it for advertising.
Who we share it with
- People you choose: your inspector, when you send the plan or share a live link.
- Service providers that run parts of the service for us under contract: Cloudflare (hosting, storage, email routing), Whop (payments), our email delivery provider, and a separate server that renders PDFs. They may only use the data to provide that service.
- The law: if we are legally required to.
Inspector links
A live inspector link is read-only. It shows your current plan, the CCP table and the last 90 days of logs. You can revoke it any time, and every link expires after 90 days.
How long we keep it
Your logs and plans are kept while your account exists and stay exportable any time, free. Server logs are kept for a short period for security. If you delete your account, we delete your data, except what we must keep for tax or legal reasons (for example purchase records).
Export and delete
Export any log or plan from the app, or ask us. To delete your account and data, email help@clearhaccp.com from the account email. Before we delete, we will warn you: health departments may ask to see your records. For sous vide and cook-chill, the FDA Food Code says to keep them for at least 6 months (3-502.12(D)(3)(b)), and your health department may ask for longer. Export them first.
Reviews
A review is only published if you give separate consent. We remove personal data such as phone numbers before publishing. See how reviews work.
Cookies and analytics
The app uses a sign-in cookie. The site may use privacy-respecting analytics (Google Analytics 4) to count visits; it loads only after you interact with the page. The site stores your light or dark mode choice in your browser.
